It's not every day that a PropTech executive gets to namecheck classical mythology. But with a blockbuster adaptation of the Odyssey still in theaters, this is a perfect time to point out that property management companies are caught between Scylla and Charybdis. Only instead of a deadly whirlpool and a six-headed dragon, PMCs are stuck between rising resident service expectations and the increasing difficulty of hiring and retaining professional maintenance and leasing staff.
This is an industry wide pressure point: Residents demand a higher standard of service both from front office and maintenance staff, but total turnover for onsite property-level employees reached 29.2% in 2025. Unanswered calls and slow ticket resolutions don't just lead to low satisfaction scores, but cause higher move-outs and lower revenue. The property management industry needs new solutions to reach a higher standard of service across the board. That means taking the pressure off full-time employees by leveraging AI to handle incoming communications.
Table stakes, meet Labor shortage
The fact of the matter is, residents now require the same responsiveness and professional courtesy and attention from property teams, regardless of the size of the property or the company providing the service. Specifically, renters are looking for a provider who offers a consistent tone across every interaction, accurately triages between routine and urgent requests, not only fixes but acknowledges problems quickly, and keeps a clear paper trail linking each interaction to the correct work order. All of these are reasonable demands, as any renter would want to be treated courteously, have their problems prioritized correctly and resolved efficiently, and access clear and concise documentation.
Resident expectations have turned this level of service into table stakes, not a nice-to-have. Companies that cannot meet these standards aren't just missing out on a premium service, but failing to meet the new minimum standard. However, meeting even reasonable expectations can be prohibitively costly if it means hiring more people than a company can (or should have to) afford. Hitting all these targets consistently with a traditional staffing model requires overstaffing so that trained professionals are always on-hand to take calls during quiet hours, and ensure nobody is shunted to voicemail at peak times.
No country for old solutions
Assuming traditional staffing models scaled reasonably, overstaffing could be a workable, if cumbersome solution. But none of the three usual responses make sense anymore. Hiring more in-house personnel to staff the front desk and take calls can ensure a higher quality of service and more consistent call pickups, but is prohibitively expensive and leads to redundant headcount. Even if this approach could solve the service quality problem, it still doesn't get around the core staffing challenge, as you can't staff around a labor shortage with more labor.
Outsourcing to a generic third-party answering service ensures more calls are answered, but PMCs have no way to guarantee high-quality interactions. These services can't reliably provide effective triage or trackable documentation, as their contact centers have no visibility into their client PMCs' work order system.
Finally, pushing more after-hours workload onto existing staff is both unfair policy and a great way to ensure frequent staff turnover. Even if it was an acceptable or wise way to treat team members, this approach doesn't scale once a portfolio spans multiple properties and markets. To scale properly, PMCs don't need more staff, third-party contractors, or poor work-life balance. They need centralization and AI-driven communications to provide a single "front door" for resident interaction.
The new approach
What is a PMC to do if headcount, outsourcing, and overwork don't scale? Fix what needs to scale in the first place by letting AI-driven contact centers fill the gap. By leveraging the incredible adaptability and responsiveness of LLMs and chatbots, property teams can assure uniformly excellent and responsive resident communications while freeing staffers to offer the indispensable human touch when it counts.
Let's go through how it works, step by step. When a resident reports an issue at any property at any time, 24/7, the intake captures their call or message immediately in one centralized database. The smart AI system automatically triages and prioritizes tickets based on urgency, considering the current locations and planned routes of any maintenance personnel. Any true emergencies are immediately escalated to a live employee, and the system assigns tasks by consistent internal logic, not by whoever is on shift, and requests become structured work orders rather than notes to be transcribed later.
To provide this sort of round-the-clock service at the same level of professionalism and efficiency with AI, a PMC would need to hire a large communications team. But an AI contact center requires no additional headcount. Property teams remain lean but immediately become more efficient, as employees no longer need to handle any but the most urgent resident communications.
Considering some AI contact centers can even walk residents through fixes for simple issues, these platforms can even reduce the overall volume of maintenance tickets, further reducing the workload on property teams. And consistent intake and documentation create a major side benefit most operators aren't tracking at all!
The chargeback bonus
Because AI contact centers track every resident interaction for work order documentation, they naturally catch any potential resident chargeback items. Rather than relying on staff to remember each interaction and appropriate chargeback rules, the platform automatically flags any appropriate issue, and notifies residents up-front that they may be charged for a maintenance issue they caused. This transparency improves resident behavior, builds trust, and helps operators recoup damages more easily.
Chargebacks allow operators to recoup damages while the renters responsible are still in residence, rather than reconstructing a long bill during move-out months or years later. Residents are incentivized to take better care of their living spaces, and the AI system provides clear and fair documentation.
This resident chargeback process is a microcosm of how much more effective PMCs become with just one move. By implementing an AI contact center, operators improve their damage restitution process, establish better communications and trust with residents, reduce the frequency of resident-caused damages, and avoid a frustrating and unreliable post-moveout billing experience. And all these benefits don't cost invaluable team members any extra time or effort. Better documentation and communications aren't just an efficiency boost, but a way to protect revenue.
Skip the rock and the hard place
Residents expect high-quality service around the clock. Even for the very largest PMCs who can theoretically afford a centralized, highly trained team large enough for round-the-clock staffing, the cost makes no sense. For anyone else, it's simply prohibitive—even if there wasn't a shortage of available workers.
Professionalizing resident communications isn't really a staffing problem at all. It's a matter of finding the right platform to provide consistency and quality at any time, while freeing team members to complete valuable work elsewhere. When faced with a rock and a hard place (or a whirlpool and a dragon, like Odysseus), the operators who come out ahead will pick a third option, and find a way to scale without adding headcount.
