If you've ever spent a full day onsite at a property, you know exactly what I'm talking about. Some days it feels like the job is one never-ending cycle of juggling priorities, putting out fires, and trying to keep the plates spinning.
Just the other day was a perfect example. In between sorting through dozens of resident packages (and they just kept coming!) I also toured 4 prospects through multiple apartments; no golf cart, 3 different buildings. The tours went great, the prospects were excited, and most of the packages were either picked up or at least organized for residents. By the time I finally looked up, the day was almost gone.
Sounds productive, right? Yes—but here's the catch.
What Didn't Get DoneEach of these tasks adds real value to the resident experience, the leasing process, and ultimately, the bottom line. But without enough time—or the right staffing—they're left to pile up on tomorrow's to-do list. And tomorrow, of course, brings its own flood of packages, tours, calls, and emergencies.
The Bigger PictureThis isn't just about one busy day. It's the reality for many leasing offices across the industry. Teams are stretched thin, expected to deliver first-class service while also handling a never-ending list of operational and marketing tasks. The intention is always there, but without the manpower, the execution falls short.

Currently, I’m in a position of leasing administrator for a property of 245 units as well as a secondary property of 68 units. I am doing leasing/admin leases renewals, etc. and by myself for two properties. Most days I’m just arriving and leave at the other day feeling overwhelmed and anxious about how to get it all done successfully.
Couldn’t agree more. I see many firms shifting some of those follow-ups, admin, and marketing tasks to dedicated remote support. It frees up onsite teams to focus on residents while nothing slips through the cracks.
