Guest Insider I would ask to go on work orders with him, not to manage but to understand more of what he’s dealing with, especially if you’re new. Let him know your a team, and want to understand more of what is expected. That way, you can connect, understand any new employees and what is expected and to help each other! Property management is a team, and as a PM you should know what they are going through prior to expectations. Sometimes, we can take for granted what all the maintenance truly does, and that is when you can see!

Guest Insider Congrats on the job! It is a give and take with maintenance. Just like they don't understand what all we do and how long our projects take, we don't fully understand what all they do and how long their work orders/service request take. I always look at it like it takes a great manager and a great maintenance supervisor to make a great team. The number one thing that I've found over the years that sucks the time from maintenance is when they are doing something for someone and then the person wants to add on just one more thing or two more little things. The resident will think it only will take maintenance a few more mins, but in actuality it messes up schedules. While I always want our residents to feel valued and like we care, I've always trained my maintenance to tell the residents that they cannot add on anything without a work order being submitted because they have to be able to account for what they've done that day and if we don't see the extra items they are doing, we don't... Guest Insider I use to have the same problem with residents addressing further work order when they went to do the ticket already called in. Residents would also ask the staff to do personal stuff like hang a curtain, pictures ect. I had a great staff and they planned there day based on the tickets and what they entailed. they stated it was cumbersome when other items where added on the spot. So I sent out a letter to the residents stating that the current ticket items would be taken care of but any additional items would need to be called in to generate another work ticket or if the staff was working on a current ticket and the resident wanted more the instructed them to call the office and submit a ticket. It worked out well, I got a bigger picture of what the maintenance staff was truly doing with their time along with upper managment making sure that all work was documented.

Guest Insider Are you budgeted for more than one person and are just having trouble finding someone else? Maintenance had a really hard job and being the only one would be extremely frustrating. Give him grace and simply ask him what he needs from you, this will give you a good jumping off point to help solve the problem.

Maintenance goes, needs 3 infinite switches, 3 ceramic blocks. Depending on the level of filth of the stove will determine the time to complete.
What may be happening if hes been there for along time, residents may not be even entering all the work orders. I get stopped 10x a day asking if I can come check something real quick. If he doesnt know how to say no, he will drown. Set forth days that a regular work orders and allow Mon or Friday to be emergency only so he can catch up on other things. Start of by giving him 10 on a Tuesday and say I need all these done by 2pm,3pm etc.

Guest Insider Give him grace he's also on call and running all things on his own what type of work orders are taking him long ? Is it all of them or is he needing more time with certain things ? Any way maybe you can ask other sister properties for help or get him a temp until you restaff

Guest Insider It may be good advice to ask him why certain work orders are taking longer than you anticipated, the feedback can be useful in future scheduling and it allows him to know you care. Also, maybe you tell him you want to learn more in order to support him and shadow him on a few work orders to see what he is up against.

Anonymous member Try to be patient with him. One maintenance team member is better than none. Maybe try to call in a temp to help him get caught up, even if it’s for a few hours. If I had any advice - maintenance is the back bone of the property.

Tamie Poe Sit him down. Tell him you’re new and want to learn from him. Ask him if you can follow him around so he can show you things you’re able to answer questions for residence easier and understand time frames. Then ask him what you can do to help him achieve daily goals. If you do not include him in things, you’re going to never get more productivity.

Anonymous member How are you coming up with a timeframe on work orders? Do you know how long it takes to make repairs? It’s very difficult to try and give them a time frame because things happen that make each one last longer. I would just have a conversation to see what happens in certain situations. You can’t predict the unpredictable. You cannot create a schedule for each work order and expect everything to go perfectly.

We work out a date to deliver, dressed accordingly lol, even the resident come along.I can tell you it’s one of the most rewarding  things I have ever done. Simple things they need, socks, blankets, throws, etc. Guess I am starting to feel the season spirit a bit early.And of course we turned our cart into a sleigh  in Texas. Very easy to do.

Guest Insider I would do it in a marketing packet.Go to local pediatric doctor's offices.Dentist daycares, things like that.Give them a little gift basket with some treats and drop off the coloring pages.And just let them know who you are and see if you can have it sitting out front for their customers
